Terms and Conditions

Cancellations:

By requesting / accepting your booking form you agree to the ‘unsigned form cancellation’ charges (A); to pay these and any other charges (B); to Brighthelm’s cancellation policy (C); to all terms and conditions of room hire (D).

(A) By requesting / accepting your booking form you agree you will be charges half cost for the room hire if the booking is cancelled within 4 weeks of the event when a booking form has not yet been signed but has been sent to you by us. This is in addition to our standard cancellation procedure detailed on the booking form.

(B) You agree to pay the invoice swiftly once it has been received (half cost of the room hire as detailed in (A)). The half price cost cannot be lowered and you will be billed after the event was scheduled to take place, or shortly after cancellation.

(C) You agree that the Brighthelm Bookings Officer can cancel or change the booking date if unable to meet your requirements due to shortened timeframes resulting from not receiving a signed booking form. The Bookings Officer cannot cancel your booking without letting the organiser know. The bookings may also be cancelled due to; changes to your booking rendering your meeting unsuitable for Brighthelm, violating our ‘Zero Tolerance Policy’, outstanding debts, unforeseen circumstances such as building/ground works and security or health and safety reasons.

(D) You agree and comply with our rules and conditions for room / garden hire. Brighthelm reserves the right to amend conditions at any time and without notice.

  • Cancellations of confirmed bookings must be made in writing via email.
  • Cancellations with less than 2 weeks’ notice with a completed booking form will be FULL COST
  • Cancellations between 2 and 4 weeks’ notice with a completed booking form will be HALF COST
  • Cancellations over 4 weeks will not be charged
  • You may postpone your event once free of charge

Please note:

  • All bookings must adhere to the conditions of hiring.
  • Bookings running after 22:00 Monday to Saturday are subject to a staffing charge of £12.50 +vat per hour.
  • Bookings running after 16:00 on Sundays are subject to a staffing charge of £12.50 +vat per hour.
  • Large bookings with light and sound requirements may also be subject to our technician staffing charge of £15 +vat per hour.
  • Rooms are hired out to groups and organisations at the discretion of the Brighthelm Community Centre.

 

Conditions of Hiring

  1. Bookings must be finalised by completing a booking form and returning this to the Bookings Officer, Brighthelm Community Centre, North Road, Brighton, BN1 1YD. You can also contact us via telephone: 01273 964220 or email: bookings@brighthelm.org.uk
  2. The person signing the booking form shall be considered the person responsible as the hirer unless the booking form is signed on behalf of an organisation, in which case the officers of that organisation shall be considered the hirer and shall be jointly and severally responsible and liable under these conditions with the person who signs the form.
  3. Management reserves the right to refuse any application, to stop any function not properly conducted, and to remove any article or exhibit which is inconsistent with the aims and principles of the Brighthelm Centre, or the objectives of the United Reform Church.
  4. Members of religious, quasi-religious, and artistic groups should note that the failure to supply information upon request which allows management to make a judgment as to the nature of the activity concerned may lead to cancellation at short notice and without liability for any loss incurred by the hirer.
  5. Brighthelm reserves the right upon confirmation of the booking to require the hirer to submit a draft of any poster, notice, bill, programme, announcement, advertisement or invitation relating to an event for which Brighthelm has been hired and shall comply with all requirements with regard thereto.
  6. The hirer is not entitled to enter the premises for the purpose of preparation at any time other than the hours agreed for the booking.
  7. Management reserve the right to require a payment in advance of the whole hire charge or a proportion of the hire charge as a deposit.
  8. The space will not be used for any reason, other than the purpose in which stated neither on the booking form, nor by any other person or organisation other than the hirer or their client.

Nothing contained herein shall be construed as conferring upon the hirer of any rights of occupation or use of Brighthelm other than a personal licence.

  1. Brighthelm will not be responsible for the safety of any article of any kind which is brought into or left in Brighthelm.
  2. Brighthelm operates a no smoking policy on all floors.
  3. The hirer must ensure that all fire and safety requirements laid down from time to time by management are observed. No exits may be blocked, nor additional chairs placed in the corridors or aisles, or any tables placed in positions other than as agreed in advance or with housekeeping staff. No fire appliance may be removed or tampered with, except in the case of a fire. No fire doors will be kept open by means of chair, doorstop, wedge or any other such device.
  4. Management reserves the right to gain access to any space at any time.
  5. The hirer shall ensure that good order is maintained in Brighthelm during the period of hire, and that no damage is caused to its structure or content; to inform a member of Brighthelm staff immediately if disorder or damage occurs. The hirer will leave Brighthelm and the equipment therein in a clean condition. If management is not satisfied with the condition of Brighthelm or said equipment when given up by the hirer, the hirer will be required to pay the cost of cleaning and/or replacement.
  6. Hirers who are given keys for the purpose of access to rooms or other areas of the building must lock these rooms or areas and return them to reception as soon as the hire period is over.
  7. The hirer accepts responsibility for the care of all goods, articles, equipment or chattels placed, deposited, brought into or left upon the premises by the hirer or any person associated with the hirer. Brighthelm accepts no liability in respect of any loss, theft, damage or destruction, however caused for such items.
  8. Brighthelm, its agents or its staff, paid or unpaid shall not be vicariously liable for any acts or omissions by the hirer or persons associated with the hirer which may cause loss, damage or injury to lawful visitors to Brighthelm.
  1. Brighthelm shall not be liable for loss caused through any breakdown of machinery, failure of the supply of gas, electricity, leakage of water, fire, restricted by a civil authority, or act of God which may cause Brighthelm to be closed.
  2. Brighthelm does not provide attendants to steward any event. When the premises are used for any public event, whether a charge is made for entry or not, a sufficient number of stewards, agreed by name in advance between Brighthelm and the hirers shall be provided by the organisers and must be in attendance for the duration of the event.
  3. Alcoholic liquor may not be brought onto the premises except with the prior permission of the Minister and management of Brighthelm Church and Community Centre. In addition the sale of alcoholic liquor is strictly subject to prior licensing arrangements.
  4. No animals, except guide dogs, may be brought onto the premises except with the prior permission of management.
  5. No sweepstake, raffle or other form of lottery shall be promoted, conducted or held at Brighthelm except with the permission of the Minister and management of Brighthelm Church.
  6. No bolts, nails, tacks, screws, pins, drill-bits or other objects shall be driven into any parts of the building including the ceiling or contents, nor shall any placard or other articles be affixed thereto by any means, including white tac, blue tac and glue. Posters, declarations, flags, emblems, stickers or any articles for display shall only be displayed with and in such manner as shall be approved by management in advance.
  7. No alteration or addition shall be made to the gas or the electrical fittings including overloading the socket outlets, double pinning etc. no additional kind of lighting or heating shall be introduced without prior permission of management.
  8. The hirer shall undertake to pay the charges for the hire promptly on demand and pay any additional costs which result from a breach of any of the conditions specified herein. Failure to pay on demand will result in legal action and/or cancellation of further bookings.
  9. Hirers must note that the sale or distribution of newspapers, leaflets or any other item is not allowed in any part of the building or grounds except within spaces booked by the hirer.
  10. Brighthelm does not permit advertising of events on its premises by flyposting and reserves the right to cancel events without liability should this ban be contravened.
